Efficiencies When Working on Multiple Projects

I enjoy having a lot on my plate. I am a wife, mom, Program Manager, Praise and Worship leader, Coach, Podcast Host, Public Speaker, and content creator. I project manage my life so that I can accomplish everything I want to do. Project management is the application of skills, tools, techniques, and knowledge to execute a project. Working on multiple projects can prove to be difficult because it is challenging to remain efficient when you are working on so many different initiatives. Your efficiency and productivity are stretched thin if you do not take time to plan.

One of my techniques for facilitating multiple projects is to implement a Project Management System.

Benefits of a Project Management System

Improved Planning and Scheduling

Project Management Systems allow for the creation of a consistent management plan that facilitates the prioritization of tasks for the success of the project.

Better Collaboration

Because many projects often include members from different departments, there may be a communication gap. A communication gap means a delayed project. A delayed project means resources may be wasted. A Project Management System makes effective collaboration extremely simple.

Enhanced Productivity

One of the major advantages of project management is its ability to enhance productivity. This is done by shortening the decision-making process by having everything in one place.

Effective Risk Mitigation

Project Management facilitates planning for a project before actually embarking on the project. This plan allows team members to see a path and identify possible risks. The identification of possible risks allows for the creation of a solution before the risk becomes an issue. In most instances, workarounds can be created to avoid the risk altogether. No one wants this moment.

Budget Management

Project Management enables you to better be able to track the finances of the project and manage the budget effectively. One of the worst things that can happen is an incomplete project whose budget has run out. As a PM, you want to avoid this at all cost. Project management systems can help you monitor project spend and keep you on track.

Regardless of the field that you are in, Project Management is bound to be an asset to you. Project management systems will aid significantly in streamlining work streams and create more productivity and efficiency. Some of the systems I’ve used both professionally and personally are Smartsheet, Asana, Monday and Workfront.
